Job Description:
Student Services Coordinator/ Director
Supervisor: The Student Services Coordinator will report to the Executive Director.
The Student Services Coordinator is expected to:
· Know, follow, and inform school policies
o Know the relevant student services policies
o Ensure that the policies of the school and the laws governing special education, gifted, 504, SAT, MLSS are followed by the respective teams.
o Coordinate with the Policy Committee to provide feedback on student services related policies and communicate approved changes to the various student services staff.
· Be familiar with the current EVCA Special Education Policy as well as the state and federal statutes governing special education.
· Ensure all Student Services staff are properly trained; make training proposals to ED as necessary or desired.
o Document and maintain documentation for all trainings; provide a copy of all training documentation to the business office for personnel files.
· Ensure all faculty and staff receive updated IEP documentation with required accommodations and modifications
o Collect and maintain documentation that faculty and staff have received accommodations and modifications
o Follow-up with faculty and staff regularly accommodation and modification information
· Ensure that IEP team keeps all IEP/BIPs up to date and properly filed
o Collect and maintain documentation that faculty and staff have received necessary BIP documentation
o Follow- up with faculty and staff regularly about BIP information
· Ensure that the correct members of the IEP team meetings are included, according to policy
· Ensure that the correct notifications and timeframes are followed, according to policy
· Make all notifications, conduct all meetings, and file all reports in due time, as required by policy and law
· Oversee the various Student Services staff
o Ensure that the Student Services Department is performing its function properly and in a professional, timely fashion.
o Ensure that each staff member on the student services teams knows their job function, where they fit in the organizational chart, and what their job expectations are.
o Coordinate with the Grammar/Upper School Directors to identify students with IEPs that may need a BIP, in accordance with the Special Education Policy.
o Ensure that the 504 Team is performing its function properly and in a professional, timely fashion.
o Ensure that the MLSS Team and SAT team are performing their functions properly and in a professional, timely fashion.
o Ensure that the Testing Coordinator is properly planning, communicating, and executing standardized testing information and accommodations in a professional, timely fashion.
· Oversee the provision of ancillary services
o Ensure that ancillary service personnel are available.
§ Coordinate with the Business Manager to ensure that ancillary services costs are correctly forecast and charged so as to stay within budget.
· Oversee the scheduling and execution of ancillary services to ensure that the levels of support indicated by IEP and 504 plans are being properly delivered.
· Observe the provision of ancillary services at least twice a semester.
§ Provide a report to the ED with quantitative information and data assessing the quality and adequacy of the service.
Maintain a list of CPI/NCI trained personnel on staff.
Reports
· Deliver reports the Friday prior to the GC meeting each month to the ED containing (refer to the Special Education Policy for the latest version of this list).
· Run reports of STARS/NOVA data on the 40, 80, 120, and EOY reporting date. Check reports for accuracy. Coordinate with registrar and Student Life Coordinator to ensure accurate reporting. Sumit reports as necessary for the state.
